What is the difference between normal day-of coordination and your final weeks service? 

  • Day-of coordination is a fairly hands-off approach, starting around 4-6 weeks from the wedding. The clients provide the timeline and all supplier details including the service they are providing, and what they will be doing and when. The coordinator would take these details, confirm with suppliers, and build out the timeline.

    Our final weeks service starts around 10-12 weeks out where we have a in-depth meeting with the client going over every detail of the day, we tend to walk through it from when they wake up to when they go to sleep. We identify any gaps and make suggestions for what to do or things to change that might make the day that bit better. We start contacting suppliers at that point to confirm what they are doing and anything they might need. Between the information we get from suppliers and everything gathered in our big meeting, we create a full timeline which is signed off by the client and distributed to the need-to-knows. For the last two weeks or so prior to the wedding, we take on as much of the communication with suppliers as possible, so the couple can relax with their friends and family instead of running around answering the same question and acting as a middle man between the venue and suppliers.

I don’t think I quite need full planning but I need more help than final weeks, can you help?

  • These tend to be the only services we offer, but we make exceptions. It’s definitely worth reaching out so we can have a chat and see if there’s a way we can help you.

Do you work with international couples?

  • Absolutely! In fact, it’s our speciality. About 80% of our couples are destination clients based all over, from the US, Australia, UAE, and mainland Europe . Wedding planning is hard enough without having oceans and time zones in your way, this is a relationship we know and love. 

What sort of weddings do you work on?

  • Our clients are busy, hard working professionals who are looking for a day (or weekend) where their best friends and family from all over the world can come together and have the BEST time. They are often in some of our many castles, stately homes, or historic venues from art galleries to museums. They generally prioritise food (and the drinks to go along side), the photographs that capture the honest joy and love of the day, a comfortable and beautiful space in which you can truly see the personality of the couple, and some damn good music to dance to. We do not want you to ever be able to look at a wedding and say “ahh yes, that looks like a Scarlett & Bell wedding.” We want it to look like you. 

What do you do on the wedding day?

  • Before we arrive on site (around 9:30am), your hair and makeup artist will likely set up and start with the bride and bridesmaids. Your lead wedding planner will do a walk through when they arrive, to get situated and check on what is to be set up and identify any potential set-up issues. The rest of your suppliers will start arriving from 10am, your wedding planner will greet them and help them in any way they can. Throughout the day we will go between you and the suppliers, making sure everyone has what they needs and making sure you are having the best time. We’ll work from our timeline, as will your suppliers, and make adjustments throughout the day to allow for those little things that inevitably happen. We know you, and we know you’re priorities, so you won’t be bothered with those decisions unless necessary. We’ll be everywhere at once, while blending into the background. After 10:30pm, or once the last event had been coordinated, we will do a final check to make sure you are having the most wonderful day and head on our way.

Where do you plan weddings?

  • All over Scotland, there is no where we won’t go. This is the land we know, where the suppliers we trust implicitly are, where should anything go wrong on your wedding day, we have a list of contacts in every part of the country we can call in for emergency assistance. We know how much light you are going to have at 4pm on your October 10th wedding, and what gear you should bring for the summer hike up Arthur’s Seat for your couples shoot (yes, you should bring an umbrella or rain jacket).

Will you visit venues or meet with suppliers on our behalf?

  • For some of our full-planning clients we will take meetings or visit venues on their behalf, though travel costs may be charged depending on the location.

Do you plan multi-cultural weddings?

  • We love to. So far we have learnt about Nigerian ceremonies, Hindu traditions, Chinese Tea Ceremonies, and Jewish weddings. We relish the opportunity to learn about cultures and help you integrate them into your day in a way that is true to you and respectful to your family and beliefs. 

 
 
 

Pricing 

Do you have a minimum fee? 

  • We do. The minimum fee for each service is listed on their pages. If you would like more information about these please select the services below. The only service we don’t have a base price for is the Intimate Wedding Planning/Elopement service, because we won’t charge the same for a 4-person event as a 30-person event. Those quotes are fully bespoke.

How much do you charge for final weeks service?

  • Our starting price for Final Weeks is £2,500 which will cover the coordination of one day (opposed to the wedding and a rehearsal dinner or welcome event) in, or within 40 minutes of Edinburgh.

How do you work out your fee for full planning? 

  • We take a percentage of your overall budget for full planning. This percentage is generally 12-15%, depending on the number of days the events run for, the size of your wedding, the set-up required, the suppliers already booked, and the location of the venue. So a small wedding of 50 people in the centre of Edinburgh (where we are based), at a venue that has it’s own staff, and with the decor primarily in the floristry will likely be 12%, whereas a wedding of 150-200 with a welcome event, rehearsal dinner and wedding day in a venue in North Central Scotland with various styled areas will be 15%. On average we charge 12%, and the minimum spend is £4,000. 

Do you charge extra for travel and accommodation?

  • Because we work on average a 14-hour day, any wedding that takes place 2 hours or more from Edinburgh we charge a fee to supplement travel and accommodation costs, or alternatively the client can provide this.

What are your payment terms?

  • It varies slightly depending on the service, but on average we take 90% of the fee in 4 equal payments between the time of booking and 4 weeks before the wedding. The final payment of 10% is taken 2 weeks after the wedding. The payment structure is designed so you are paying for the planning worked on and completed within that period.
